Active Students List

The Active Students List provides a quick way to view all students who currently have a booking.

This includes permanent enrolments, trials, make-ups, and casual bookings.

How it works:

A student is included if they have at least one booking where the end date is in the future and the booking is active (not deleted).
Booking types included:
- 1 = Enrolment (permanent)
- 2 = Trial
- 3 = Make up
- 4 = Casual

Why it matters:

Ensures all currently booked students are visible, not just permanent enrolments.
Makes it possible to communicate with families affected by schedule changes (e.g. pool closures or teacher absences).
Provides a reliable operational view of who is actively engaged.

Practical example:
Jack normally swims on Tuesday, but has a make-up this week on Friday. If Friday lessons are cancelled, Jack will still appear when you filter the Active Students List for Friday, so his family receives the cancellation message.

Extra use case – Segmenting your base:
The Active Students List is also a powerful segmentation tool.

You can filter by:

Day of lesson (e.g. all Monday swimmers).
Level (e.g. all Dolphins).
Location (for multi-site organisations).
Teacher (e.g. all students taught by Coach Sarah).
Tags (custom groups, e.g. competition squad, NDIS participants).

Exporting the list:
You can export the Active Students List directly to Excel for further analysis, reporting, or sharing
