How to update the student profile details


This article gives you the details of the student profile feature.


Student Profile Details

  • Opening the student profile will display all the details on the left side. 




To update any student details, follow the steps below:


Step 1 - In the student profile modal, scroll to the bottom and click the “Edit Student” button.



Step 2 - Update the fields then click the “Save” button. 



Step 3 - It will prompt a notification message that the data is saved.





To delete a student, follow the steps below:


Step 1 - In the student profile modal, scroll to the bottom then click the “Delete” button.


Note: this button is only available if there are no active classes.





Step 2 - It will prompt a notification message, then click “Yes” to continue.



Step 3 - it will prompt a notification that the student is deleted.




Booking History

  • In this tab, it will display all classes of the student. It consists of active, past, and waitlists.


To view active classes, click the “Active” sub-tab. This is a default view also in viewing student profiles.




To view past classes, click the “Past” sub-tab. 



To view waitlisted classes, click the “Waitlist” sub-tab.




Makeup lessons

  • This tab will display the explained absence and custom tokens of the student. 


To check makeup tokens, just click the “Makeup tokens” tab in the student profile. 




Competencies/Skills

  • This tab will display all of the competencies details. 


To filter competencies/skills by Level please follow the steps below:


Step 1 - In the student profile modal, click the “Competencies/Skills” tab”. 



Step 2 - Select the dropdown “Level”, then it will display their data based on the Level.



To view the competency history just click the “Competency History” sub tab. 


This will display the transaction history of the competency per class.


It displays the previous and current skills and who updated it.




To view assessment history, just click the “Assessment History” sub tab.



All sub-tabs can be sorted per column by clicking the header to sort it in ascending or descending order.




Attendance 

  • This tab it will display the attendance of the active class of the student.


To view the attendance of the student, just click the “Attendance” tab.




Payment Transactions

  • This tab will display all payment transactions made. 


To view payment transactions follow the steps below:


Step 1 - In the student profile modal, click the “Payment Transactions” tab.



Step 2 - Hover the “View Details” button to view the payment type used in the said payment.



Step 3 - Click the header column to sort the data.




Notes

  • This tab can create, edit, and delete notes for skill grading and student notes.


To create a notes, follow the steps below:


Step 1 - In the Student Profile, click the “Notes” tab.



Step 2 - Click the button “Add new Notes”



Step 3 - Fill up the details of the notes in the text field.



Step 4 - Then click the ‘check’ icon to save.



Step 5 - It will now display the newly created notes in the list.




To edit an existing notes, follow the steps below:


Step 1 - In the Student profile, under the Notes tab select the notes you want to edit then click the ‘Edit’ icon button.



Step 2 - Update the notes in the text field.



Step 3 - Then click the “Check” icon button to update it.



Step 4 - Then it will display the updated notes in the list.




To delete a note, follow the steps below:


Step 1 - In the Student profile, under the Notes tab click the “delete” icon button.



Step 2 - It will prompt a notification, then click the “OK” button to proceed.




Step 3 - Then the deleted notes is not visible in the list.




To search for a specific note, follow the steps below:


Step 1 - In the Student profile, under the Notes tab type the notes or note source in the search field text.



Step 2 - Then it will update the list based on the search value




Ledger

  • This tab views all the ledgers of the student. It will display all invoices, transactions, and balances of the student.


To view the ledger of the specific student, follow the steps below:


Step 1 - In the Student profile, click the Ledger tab.




Step 2 - Then it will display all the transactions for the specific student. It will also compute the balance of the student that was posted in the upper left side of the modal.




To filter the date of the ledger, follow the steps below:


Step 1 - In the Student profile, under the Ledger tab, select the from and to date filter




Step 2 - Click the “Filter” button to filter. Then it will display the transaction made in the said date filter. Clicking back the button “Filter” will remove the date filter. 





To create an adjustment, follow the steps below:


Step 1 - In the Student profile, under the Ledger tab click the button “Adjustment”.




Step 2 - Input the amount and the description in the field.




Step 3 - Click the button “Save”.



Step 4 - It will prompt a notification, then click the “Save” button to proceed.




Step 5 - The adjustment is now saved and displayed in the system as Credit.



To create a new invoice, follow the steps below:


Step 1 - In the Student profile, under the Ledger tab click the “New Invoice” button.




Step 2 - Input amount and description in the field.




Step 3 - Click the “Save” button.





Step 4 - Click the button “Yes” in the notification at the upper right side to proceed.




Step 5 - The new invoice is now saved and displayed in the system as a Debit.
