Enrolment Cancellation in the Customer Portal
You can choose to allow parents to cancel their child’s enrolments directly from the Customer Portal. By default, this option is switched OFF, and you decide whether to enable it.
How it works for your business:
In Profile → Account Settings, switch ON the “Enable Enrolment Cancellation” option if you want to allow parents to cancel.
You may also set a cancellation window each month (for example, from the 25th–29th).
If you don’t set a window, parents will be able to cancel at any time.
When enabled, a Cancel Enrolment button will appear in the parent’s portal (under My Bookings → Action column).
Parents click the button, add a cancellation reason, and confirm.
What parents see:
Their child’s enrolment stays active until the end of the month.
The system automatically sets the cancellation date as the last day of the current month (for example, cancelling on August 14th means the enrolment ends August 31st).
The portal displays “Cancelled” next to the end date once the cancellation is saved.
Important billing note (perpetual systems):
In perpetual billing systems, the customer’s invoice for the next month is automatically generated on the date set in your billing settings (typically late in the month).
Parents must complete cancellations before this invoice date.
Once an invoice is generated, parents will no longer be able to cancel via the portal.
If a cancellation is needed after the invoice is generated, you must manually remove the invoice first.
To avoid issues, set your cancellation window so it blocks parents from cancelling past your invoice generation date.
Practical example:
If a parent decides on the 20th to stop their child’s swim lessons, they log into the Customer Portal, click Cancel Enrolment, enter a reason, and confirm. The enrolment remains until the end of that month and then ends automatically.
