How to set up automated booking confirmations

A booking confirmation is used to confirm customers bookings.


First Class has an automated booking confirmation feature that will automatically send the customer an email confirmation after a booking event.


Booking confirmations apply to both back end bookings via the weekly view as well as any online bookings.


What booking types are supported with booking confirmations?


1. Permanent bookings

2. Trial bookings

3. Casual bookings 


The booking confirmation supports both normal bookings as well as moves from one class to another. 


How to set up an automated booking confirmation


Follow the following steps to set up an automated booking confirmation


Step 1: Go to email templates, found in settings----communication


Step 2: Create a template and call it booking confirmation or something similar OR You may wish to use an existing template if a suitable one is available.


Step 3: Ensure the email template has the class details tag added. This is added by clicking the blue tag options above the template builder.




Step 4: Link the template the the booking confirmation process by selecting booking confirmation option from the action drop down


Step 5: Save by pressing the update option. Your booking confirmation will now be live.


What's included in a booking confirmation


You can edit the booking confirmation email via the edit template feature.


You may wish to include additional information in your booking confirmation such as what to bring to the lesson, how to access the customer portal/app etc.


The most important part of a booking confirmation email is the class details tag. 


Email tags personalise an email and the class details tag links to a student and pulls in their active booking information.

Class level

Lesson day and time

Booking type

Term

Teacher 


FAQ: Booking confirmations


If the customer has more than one active booking, will this be represented in the booking confirmation?


Yes, a booking confirmation will display all the customers active bookings at the time.


If a customer has multiple children, will they receive multiple booking confirmations?


Yes, booking confirmations are student based. If they have more than one student, they will receive a booking confirmation for each student.
