How to set up class exception dates
About: Class exceptions can be used to block out specific classes as a non-billing day.
As opposed to holidays that apply to a specific location or across all of your program. Exception dates allow greater flexibility with cancelling specific classes.
Example: Your classes in term 4 run from October to late December. There is a public holiday on the first Tuesday in November which you have added as a holiday, however, during the morning on the first Thursday in December there is maintenance taking place at your facility and lessons cannot run. In such an instance you can use the exception date feature to ensure that the classes during that morning are not running and are not charged for on customer enrolment.
How to set up exception dates for a class
Go to the add/edit class section of First Class and locate the class you wish to set up an exception date for.
Click on the edit feature (pencil symbol next to the class on the right), this will pop up the edit class modal.
At the bottom of this modal is a button called class changes
The class changes modal will show the future classes for the specific class on each of the dates the class runs.
You can cancel a class or create an exception by clicking the edit button for the desired scheduled class date and then changing the active column from true to false. (un-check the box)
This will create an exception day for that class.
NOTE: This will not retrospectively impact a customer's enrolment or invoice. If the customer has already been invoiced for this class, the added exception will not automatically apply to that customer's invoice.
It will however apply to any NEW enrolments to take place after you have applied the exception.
The class change feature can also be used to manage temporary changes to classes such as teacher/instructor changes for a specific week or a time or area change.
