Setting Up a Squad Program with Term-Based Billing and Sub Classes

Scenario

For squad programs, students may attend multiple classes or sessions each week but are charged a single fee for the full term.

The recommended setup is to use a main billing class combined with sub classes. This allows the customer to book and pay once while automatically enrolling the student into all classes that make up the squad program.

Recommended Setup

Step 1: Set Up the Term-Based Billing Class

If customers pay per term, first calculate the total cost of the program across the full term.

For example:

10 weeks × $45 per week = $450 per term

Set the class pricing to Per Term and enter the total term fee of $450.

Apply the term pricing to the main billing class, such as the AM squad class.

For example, this may be the Monday/Friday AM Squad.

Step 2: Set Up the Additional Sessions as Sub Classes

For the additional squad sessions, such as the PM classes:

  1. Open the class settings.
  2. Tick Is Sub Class.
  3. Go to the main AM billing class.
  4. Open the Sub Class dropdown.
  5. Select the relevant PM classes as sub classes.

Students enrolled into the main billing class will now also be automatically enrolled into the attached sub classes.

This ensures enrolled squad students appear on the class sheets and rolls for every session that forms part of the squad program.

Step 3: Configure Online Booking

Only make the main billing class available for online booking.

The attached sub classes should be turned off for online booking.

This ensures customers only see and book the squad program once rather than seeing each individual squad session as a separate booking option.

Customer Booking Experience

Based on this setup, the booking process will work as follows:

  1. The customer logs into the First Class app or parent portal and finds the relevant squad program.
  2. The customer books the main squad class and pays the full term fee. For example, $45 × 10 weeks = $450.

    If the student joins after the term has started, the term fee will be prorated based on the remaining term period.

  3. Once the booking is completed, the student is automatically enrolled into all sub classes attached to the main billing class.
  4. The student will appear on the class sheets and rolls for every squad session included in the program.
  5. Because only the main billing class is available online, the additional sub classes are not visible as separate booking options to the customer.

Outcome

This setup provides a simple booking experience for the customer while ensuring the student is enrolled into every class that forms part of their squad program.

The customer books and pays once, while staff have the student correctly displayed on the rolls for all related squad sessions.
